Edit your gallery profile

Learn how to add and edit details on your gallery profile.

Edit basic information

To edit the basic information about your gallery, first, log in and go to your gallery profile. Then click on the edit button located in the upper right corner. When clicking on the button a form page with boxes will appear where you can edit the name, description, represented artists, contact email, website link, phone number, location, opening hours and cover image.The cover image is the image that shows on top of the gallery profile page. You can choose an image by pressing upload, select an image and save or simply drag the image inside the dotted line box. To make the changes appear on the profile page you have to click the save button located in the upper right corner of the page. Edit represented artists

To edit an artist, you need to click on the artist’s name where it appears in the represented artist section attached to your gallery profile. After you click this button you will be taken to the artist’s profile page. Click the ‘edit’ button underneath the artists name. Next you will be taken to a form page where you can edit the information in the boxes provided. Always click save after you have made the changes to ensure they appear on your profile.

Add a new artist, and remove artists

To add an artist to the represented artists attached to your gallery profile you need to click on the edit icon button in the upper right corner. After you click this button you will be taken to a form page to edit the gallery info. Under the gallery description is a box called ‘Represented artist’ where you will enter the name of the artist you wish to add. It is likely that the name of the artist is already saved to the Artland database.After typing the name, select the correct match from the drop down choices. If the artist’s name is not in the database, you can go to the drop down menu on your profile to create a new artist. Then a form page with boxes will appear where you can add the name, nationality, year of birth (and death year if needed). You can either write a description of the artist or simply check the auto-generated box that will generate a short biography about your artist. To remove an artist, click on the edit button in the upper right corner on the gallery profile. The existing artists’ names will appear in the box ‘Represented artists’ on the form page. Upload single artworks

To upload a single artwork to your gallery profile you click on the plus/add icon button next to the headline “Artworks” on your gallery profile (remember that you need to be logged in). After clicking the button, choose “Add one”. A new form page will appear. Here you can add all the information about the artwork in the boxes provided. Click “Save” in the upper right corner. If you don’t want to publish it yet you can change the status to “Not published” and publish it later. Published means visible to the public, and Not published means that the work is still saved to to Artland, but not visible to the public. To edit the artwork go to the individual artwork and place your mouse on top of it. Click on the edit button that appears in the upper right corner with a picture of a pencil. Make the changes you need in the boxes on the form page. Always remember to save your changes. To read more click here.

Upload multiple artworks

To upload multiple artworks to your gallery profile you click on the plus/add icon button next to the headline “Artworks” on your gallery profile (remember that you need to be logged in). And choose “Add Multiple”. A new page will appear. Here you can add all the shared information about the artworks you want to upload. Please note: Any information edited in this section will apply to all the artworks, overwriting any existing information. When you have added the information that the artworks have in common click “Save”. All the works will be added but not published. You can now edit the individual artworks, by clicking on the artwork, and move your mouse over the work, then click the “edit” button that appears as a picture of a pencil, in the upper right corner. Fill out the forms with the missing information. To publish the artwork change the status to “Published”. Always remember to save your changes. To read more click here.

Publish, unpublish and mark artworks as sold

First, log in and go to your gallery profile. Then you can change the status and availability of the artworks on the profile page. Click on the artwork in question, and then place your mouse on the artwork and click on the “edit” button in the upper right corner. To publish or unpublish the artwork switch the status to “Published” or “Not published”. “Not published” means that visitors to your gallery page will not be able to see the artwork. – On your gallery profile you can sort the artworks by the status.To mark an artwork as sold you change the availability by switching off the ‘For sale’ button. Remember to click “Save”. It will now appear as sold to the visitor. To read more click here.

Add and edit exhibitions

To add or edit an exhibition on your gallery profile click on the plus/add icon button next to the headline "Exhibitions" on your gallery profile (remember that you need to be logged in). A new form page will appear where you can add all the information about the exhibition in the boxes provided. To publish it click "Save". To edit the exhibition go to the individual exhibition page. Create Viewing Room

First, log in and go to your gallery profile. Then scroll to the Viewing Room section at the bottom of the page and click on the plus icon that says “Add Viewing Room” in the Admin Toolbar. You can now add the desired information about the viewing room. Title, start date, end date and artists are required fields. If you do not want to publish the Viewing Room right away choose “Not Published” in the status field. Click the “Save” button to create the Viewing Room. To add artworks you click on “Artworks” line in the form and a window will open to select the works you want in your viewing room.If you choose a Viewing Room to be “Not Published” no one but you and your colleagues with acces to the gallery admin system can see the Viewing Room. If the Viewing Room is “Published” anyone you send the link to can view the Viewing Room, as well as all visitors to Artland. If you want to send a Viewing Room without publishing it to the Artland platform you can simply keep it in the “Not Published” state and use the link. This will keep it private and only visible to you and your chosen recipients. By clicking on the tab “Online Viewing Rooms ” on your gallery profile you will be able to see all past, upcoming and current Viewing Rooms. Embed 3D on your website

To embed the 3D recording on your own gallery website go to the exhibition page. First, log in and go to your gallery profile. Then go to the exhibition page. Find the embed link by clicking on the arrow icon in the lower right corner of the 3D exhibition tour window. When clicking on the icon a pop up box appears with the link you need to use. The code can be used in Raw HTML or JS format. You can change the size of the embedded window by changing the height and width in the copied link. Copy the link and ask your web administrator to embed it on your website.To read more click here.

Send invitation link to a colleague

To enrol a colleague as an administrator of your gallery profile, click "invite admin" button, located in the upper right corner of your profile.  A pop up window appears. Simply enter the email address of the person you wish to invite and click "send invite". Your colleague can enter the profile to edit it by clicking the link they receive. To read more click here.
